Managing drivers in the fleet portal

Checking your drivers can be done via the ‘Drivers’ page in the Fleet Portal. If you would like to send the form to the driver to fill out themselves complete the following steps:

  1. Click the ‘Send links’ button at the top of the screen.
  2. Enter the driver’s email address and click ‘Send’.
  3. An email will be sent to the driver containing a form to be completed.
  4. Once the form has been submitted we will check whether the driver is approved for your policy.

If you would like to complete the driver information yourself:

  1. Click the ‘Add driver’ button at the top of the screen.
  2. Enter the driver’s personal details and click ‘Next’
  3. Enter the driver’s licence details and click ‘Next’
  4. Enter the driver’s claims and convictions history.
  5. Click ‘Add driver’

If you would like to check multiple drivers at once complete the following steps:

  1. Click ‘Upload drivers’ at the top of the screen.
  2. Download and complete the .CSV template. Guidance on how to complete the template can be found here
  3. After completing the template, save it and upload it to the Fleet Portal.
  4. Click ‘Upload’.

You can check the status of any files you’ve uploaded in the ‘My Uploads’ page.

If you would like to send the form to the driver to fill out themselves complete the following steps:

  1. Click the ‘Self-onboarding’ button at the top of the screen.
  2. Enter the driver’s email address and click ‘Send’.
  3. This will then create a unique shareable URL where the driver can input their details. This link is sent automatically to the email provided and can also be accessed on the fleet portal via the driver page.

Once the driver submits the form, the underwriting checks will run and the fleet drivers status will update to either approved or rejected.

You will be able to copy and paste the link directly from the portal if you wish to share the link again. You simply need to go to the individual drivers page and if they haven’t completed their information yet, then a message will show including the URL that they can copy. 

If you would like to delete a driver via the portal:

  1. Go to the driver section of the portal and click on the individual driver you want to remove
  2. Click ‘Remove’ in the top righthand side of the window
